Welcome to Part Two of Our Six-Part Series on Working Together

In this segment, we will discuss how our office team operates and how we can best support you and your child throughout the school year.

Our CRM: A Plus

All information accessed by your student support officer is securely stored in our custom-built CRM, known as A Plus. This system houses up-to-date details about every school, student, homestay host, local coordinator, and driver we work with. To ensure the highest level of service, it’s crucial that this information remains as accurate and current as possible. That’s why we ask you to confirm the details in your child’s AGUK student profile at the start of each academic year.

Your AGUK Student Support Officer & A Plus

Every child under our guardianship is assigned an AGUK Student support office team member, based on the school they attend. Each team member manages no more than 25 children, ensuring they can be well-informed about every child under their care. You should have already received a welcome email from your account manager introducing themselves. This personalised approach ensures that you, as parents, have a single point of contact for all enquiries.

If your account manager is unavailable due to sickness, training, holiday, or leave, rest assured that any member of our office team can access your child’s information in A Plus. This daily updating of records by your account manager guarantees continuity in the service we provide.

The primary role of your account manager is to serve as your UK liaison with the school, managing your child’s out-of-school arrangements (exeats, half-terms, and term start/end logistics). They are also responsible for matching and booking homestay hosts or transport, according to your guardianship package. Additionally, they can assist with contacting the school on your behalf or provide advice and guidance as needed.

Office Hours

  • Monday to Friday: 9:30 AM to 5:00 PM
  • Saturday: 10:00 AM to 12:00 PM (Midday)
  • Sunday: Closed

Emails & Response Times

Our method of communication with parents is via email, ensuring all relevant information is recorded and easily accessible within your child’s student care folder. Emails received during office hours will be responded to within 24 hours. If an email is sent outside of these hours, it will be addressed during the next working day. Please send all emails to your account manager, who will forward them to the relevant department if needed.

Please also note that while your account manager strives to respond as quickly as possible, there may be times when an immediate response is not feasible. Emails are categorised and prioritised as follows:

  • Urgent/Priority
  • Non-Urgent
  • General enquiry (handled by the account manager)
  • Referral (referred to another team member or external organisation)

Urgent enquiries will be addressed the same day. During particularly busy periods, if a response within 24 hours isn’t possible, you will receive an email with a timeline for when you can expect a response.

School Holidays & Term Dates

At the beginning of each term, A Plus will send you a reminder of your child’s school dates and request information about your child’s whereabouts and transportation arrangements. Your account manager will follow up with you each week until all necessary information is received and confirmed. This is vital as they must provide accurate details to the school, including flight numbers, departure and arrival times, and any other relevant information. Prompt responses from you enable us to make timely bookings and arrangements.

WhatsApp or Signal App

Our primary method of communication with students is via WhatsApp or Signal. Your account manager will either contact them directly using these platforms or our student welfare officer, Jackie, will periodically check in with all students. The generic office WhatsApp number is 07949 308827, and all students are expected to save this number in their phones, if they have mobile devices.

Finally, we kindly ask that parents remain polite and respectful in their communications. Your account manager is continually working tirelessly behind the scenes, to ensure a seamless experience for you and your child. If you are ever unhappy with the service provided, in the first instance, please contact Dawn (CEO) at dawn@academic-guardians.co.uk.
